Seeking General Manager (Full-Time, On-Site)
The General Manager (GM) is a senior leadership role, responsible for the administration, financial oversight, and day-to-day operation of this alpine community established in the 1970s. Reporting to the Association’s Board of Directors (BOD), the GM will manage relationships with staff, vendors, residents and guests in maintaining our standards of safety, service and fiscal stewardship. Core Responsibilities
Community Administration
Serve as the primary on-site point of contact for homeowners, board members and vendors; Respond to inquiries, resolve complaints, and address requests in a timely, professional manner.
- Implement and consistently enforce the Local, Regional, State and Association’s governing documents, rules, and policies; Manage required inspections and permits. Document requests and violations; Support the Board’s processes as directed.
- Attend all BOD Open Session Meetings, Special Meetings of the Members and Annual General Meetings, and provide a GM update report on budgets, projects and rental metrics.
- Hold weekly meetings with BOD President and Treasurer to update team on ongoing projects, requests, and issues.
- Attend Whitefish Council meetings, building relationships and advising BOD on decisions and trends.
Strategic Vision and Financial Management
Lead the community in building new amenities, creating innovative programs, and increasing the number of annual nights rented while remaining frugal with HOA dues and fees.
- Facilitate annual strategic planning, reserve / capital planning recommendations, and annual operating budget for Board review. Manage capital purchasing and maintenance expenditures against budget throughout the year.
- Oversee bookkeeping workflows, including approving and coding invoices, to maintain internal controls.
- Oversee rental program management, including identifying and executing marketing and loyalty communications to increase new guests and repeat rentals.
Daily Operations: Facilities and Property Management
Maintain the daily activities of the village, including conducting and recording regular inspections of amenities, building exteriors, common areas, roads, walkways, lighting and signage to ensure safety and cleanliness, plan for maintenance, or schedule repairs.
- Reserves and Maintenance Planning: Coordinate annual reserve study inputs for capital planning and lifecycle maintenance for common elements; Develop winter and emergency readiness plans; Oversee wildfire mitigation practices; Anticipate repairs; Manage maintenance staff.
- Vendor Management: Solicit competitive bids, negotiate vendor contracts, track contract renewals, insurance certificates, and compliance requirements with Vendors – including insurance.
- Maintain Association Records: Maintain accurate amenity operations logs, as-built information, contracts, equipment manuals, inspection reports, insurance policies, warranties and owner communication.
Key Skills and Qualifications
5 years in homeowners/property management, hospitality operations or comparable leadership role.
- Effective communication skills; ability to work effectively across multiple constituencies; comfort handling conflict resolution, rule enforcement, and service recovery with professionalism and discretion.
- Demonstrated experience with budgeting, vendor management, contract administration.
- Working knowledge of building systems and preventative maintenance programs.
- Proficiency with Microsoft Office and comfort learning property/community management software.
- Valid driver’s license and ability to travel locally as needed.
Work Schedule & Expectations
The schedule typically aligns with business hours, with flexibility to attend required monthly Board meetings (typically evenings), and to respond to urgent or weather-related issues as needed.
